Chair Descriptions

Artwork Chair

This Chair works with the Art teacher. The Art program entails getting artwork from the children

sent to a company who then creates flyers of the child’s artwork that is distributed to the

parents. The flyers contain many items that the artwork can be printed on, such as coffee

cups, notepads, and garden flags, just to name a few. Once the orders are returned the Chair

submits them to the company. The orders are then shipped back to the school and it is the

Chairs responsibility to distribute them to the parents. You will need to be in contact with the

board with updates on how the program went.

Book Fair Chair

This Chair runs the Scholastic Book fair in conjunction with the open house in September. This

person is responsible for getting the books delivered to and setup at the school, setting up the

book fair advertising in the school, getting volunteers to run the book fair and breaking down

the book fair. This Chair would also need to report back to the board after the event has run.

Box Tops Chair

This Chair collects the Box Tops that are brought into the school and submits them to Box

Tops. The Box Tops need to be cut to the appropriate size for submission. This person

will also need to advertise within the school to keep parents aware that this is an ongoing

fundraiser. The Chair will also need to keep the board updated on how many Box Top points

we have.

Bulletin Board Chair

This Chair has a creative job of keeping the PTO bulletin board decorated throughout the

school year with events, fundraiser information, etc.  The board is changed once a month.

Bus Driver Appreciation Chair

Each year the district has a bus driver appreciation week. Collectively the PTO’s have held a

breakfast at the bus garage to thank the bus drivers. The Chair for this event will work with the

East Greenbush Elementary Schools, Goff Middle School and Columbia High School PTO’s to

coordinate the breakfast. They need to plan what to eat and get a volunteer from Red Mill to

help set up at the bus garage, other PTO can send a volunteer to help as well, 3-4 is good.

You also need to work with the board by letting them know how the event went.

Dance Chair

This Chair secures a date for the Dance, if one has not been secured already. This person

also needs to get supplies for the concession stand, get party items to sell and most important

gets volunteers to help assist before, during and after the event. They will also need to

advertise and sell tickets to the event. The cost is to be determined once the contract is

received from the event company. Once the event is over the Chair will need to let the board

know how much profit was earned during the event.

PEX Chair

This Chair sends email announcements out to participating families and all Red Mill Staff

instead of them receiving paper notification of events. This Chair will work in conjunction with

all Chairs and the PTO Board.

Grandparent/Special Friends Day Chair

This Chair will acquire coffee, doughnuts and/or another treat for the Grandparents/Special

Friends visiting the school. They will also need to gather volunteers to help with the event.

Hannaford Helps Chair

This Chair collects the returned Hannaford coupons and submits them to Hannaford for

redemption. This person will also be responsible for advertising this program to the Red Mill

community and updating the board on how much money the PTO has earned through this

program.

Holiday Breakfast Chairs

There are two Chair positions:

Breakfast Chair

This Chair gets donations from vendors in the area and purchases supplies that were not

donated. This chair is also responsible for running the kitchen the day of the event.

Volunteer & Setup Chair

This Chair gets volunteers to help setup the breakfast the night before, serve during the

breakfast, help Santa at the craft fair and help with clean up after the breakfast is over.

Kids Korner Chair

This Chair runs the Kids Korner sale during the holiday season. This individual would need

to secure goods for sale through a vendor, set up the Kids Korner, get volunteers to help sell

products and to break down the Kids Korner when it is over. They will also be responsible for

telling the board how successful the event was.

Kindergarten Registration Chair

This Chair will help incoming Kindergarten parents register their child for Kindergarten. They

will need to secure volunteers and supplies for the day. This person also needs to work with

the board by letting them know how the event went.

Movie Night Chair

This Chair coordinates ticket sales and concession for Family Movie Night. The event is

held in the Red Mill Cafeteria once per year on a Friday evening. The date for Movie night is

coordinated with the PTO Board. This person also needs to work with the board by letting

them know how the event went.

Price Chopper Tools for Schools Chair

This Chair will create awareness for the Tools for School program throughout the Red Mill

Community. They will be responsible for signing up parents Price Chopper advantage cards

and designating Red Mill as the beneficiary of the Tools for Schools points. Chair will also

coordinate the product order at the end of the year with the teaching staff to use the points.

This Chair will also need to report to the board the points we have earned from Tools for

School as the program progresses throughout the school year.

Red Mill Council Chair

This Chair will sit in on the Red Mill Council meetings and act as a liaison between the PTO

and the school/teachers.

Red Mill Sportswear Chair

This Chair will create flyers with sportswear items to sell to the school community. They will

collect, submit, and distribute orders. They will also be responsible for attending or obtaining

volunteers to help sell sportswear at certain events throughout the school year. This Chair also

needs to provide the board with updates on sales throughout the year.

School Banking Chair

This Chair will work with Cap Com Federal Credit Union, by collecting deposits from children

one day a week during the school year and taking those deposits to the bank. This individual

also needs to secure volunteers to help out on banking days and advertise the banking

program in the school. The board would like regular progress reports regarding the success of

this program.

Sno-Cone/Popcorn Chairperson

This Chair position will work during the children’s lunch time, usually once a month. During

the colder months popcorn is for sale and in the warmer months sno-cones are for sale. They

will need to secure sno-cone/popcorn dates, advertise the sno-cone/popcorn event, purchase

sno-cone/popcorn supplies and get volunteers to help run the event. The cost will be $1.00 per

item. September through March sno-cone/popcorn sales are given to a specific grade level or

Questar.  The Chair will help guide the teacher’s with what they need to do in order to run their

event.  They are also accountable for reporting back to the board after each event takes place.

Target Red Card Chair

This Chair is responsible for creating awareness of the program throughout the school and

collecting information from Target to present to the board.

Tyson Food A+ Program

This Chair collects Tyson labels that are sent in, trims them if necessary, and submits them

to Tyson. This person will also need to advertise within the school to keep parents aware that

this is an ongoing fundraiser. This Chair also needs to keep the board updated on how many

Tyson’s points we have.

Website Chair

This Chair is responsible for keeping the PTO’s website updated with current events and

distributing to board members any emails that come in. As well as, uploading the minutes and

agenda’s to the web site.

Yearbook Chairs

There are two Chair positions:

Yearbook Chair

This Chair will work with a yearbook company to create templates for each page in the

yearbook; using the tools and web based program provided by the company. They would need

to be aware of deadlines for yearbook submission and have the yearbooks finished product

available on the first day of June. The chair would also need to advertise and sell yearbooks

throughout the school year and possibly at school events.

Picture Chair

This Chair will need to work with a yearbook company to take pictures of all classes and staff,

sending home information on how to purchase pictures and distributing pictures when the

orders are returned from the company. This individual would also need to secure volunteers to

help on picture and make-up picture day.

5th Grade Events Chairs

There are two Chair positions:

Moving Up Day Chair

This Chair will get supplies for the Moving Up Day picnic and get volunteers to help set-up,

serve and clean-up on Moving Up Day. Due to the momentous occasion of this day we hope

that Kindergarten through 4th grade parents will help out with this event; in hopes that the

outgoing class’s parents can enjoy themselves.

T-shirt Chair

This Chair will collect the t-shirt size of each child in the 5th grade class, order the t-shirts, and

distribute them to the students.
